Software Engineer
Manages onboarding, project start, purchase order and invoice workflows, coordinating with internal and external stakeholders to ensure accurate account setup, smooth transitions, and resolution of invoice issues.
POSITION SUMMARY: The Onboarding Specialist is responsible for managing four key mailboxes: Onboarding, Project Start, Purchase Orders and Invoice Issues. The incumbent collaborates with both internal and external customers throughout the entire onboarding process, from initiating new customer relationships and setting up projects, to managing purchase order receipts, entries, and resolving invoice disputes. The Onboarding Specialist ensures smooth transitions between onboarding phases and provides ongoing support, including assistance with audits. The incumbent is pivotal in delivering seamless customer experiences and maintaining accurate account setup and documentation.
PRINCIPAL RESPONSIBILITIES:
Delivers outstanding service to both internal and external clients via phone, email, or in person, ensuring timely and precise assistance.
Investigate billing discrepancies, process adjustments, and manage invoicing and collections.
Receive customer onboarding forms, build account in Salesforce, D365, EQAI & AESOP. Communicate with Credit, Customer Service and Sales regarding new account builds.
Send Contracts to GM's for execution. Upload executed contracts to D365 & Salesforce, Call Customers to welcome them to Republic Services , follow up with an email introducing customer to customer service, sales and project managers and provide executed copies of contracts to customers.
Receive work orders from the field, build D365 projects.
Receive purchase orders from customers, confirm pricing and terms and enter/upload into EQAI for billing.
Receive returned invoices/emails from customers-- identify and locate correct contact information to resend invoices to customers.
Receive requests for audit support to pull contract and purchase order copies as needed.
Participate in UAT testing for D365/EQAI/Salesforce updates.
Customer Account maintenance: update Sales Tax Exemptions, profile fees, EIR/EEC Fees, customer service contacts, sales contacts, purchase order requirements, adding billing projects, updating contracts on file.
Performs other job-related duties as assigned.
QUALIFICATIONS:
Knowledge of basic accounting processes
Ability to work within a team environment and handle multiple assignments simultaneously
Proficient with Microsoft Office, DocuSign, and PDF writer.
Detail Oriented for information accuracy
Ability to read, analyze and interpret company documents (i.e. credit applications, service agreements)
Strong problem-solving skills
Commitment to customer service and possess the ability to actively listen to customers to understand requests and resolve issues or make recommendations.
High School Diploma - preferred.
