Job Purpose

Responsible for ensuring accurate and timely execution of global IP renewal payments, preventing lapse of client rights. Acts as a key coordination point between PTOs, suppliers, and internal teams to ensure smooth payment processing. Maintains strong financial control and compliance through monitoring, reconciliation, and issue resolution. Supports operational efficiency and forecasting by managing payment infrastructure and funding requirements. Ultimately ensures risk mitigation, data accuracy, and continuity of client IP protection

Job Overview

Key Responsibilities

• Responsible for the timely planning and processing of all bulk payments directly with PTOs and local suppliers by following the payment order release dates established within the renewal operating system.
• Responsible for the timely planning and processing of all ad hoc payments directly with PTOs and local suppliers by following the payment order release dates established within the renewal operating system.
• Monitor and track all PTO and local supplier payment order confirmations within timelines set forth.
• Responsible for chasing PTOs and local suppliers for outstanding payment order confirmations within timelines set forth.
• Review and verify all confirmed payments as well as archive the respective statements.
• Ensure that “Payment Completion” is recorded for each renewal confirmed as per processes set forth.
• Maintain payment ledger and collaborate with Finance.
• Prepare monthly budget forecast for deposit account top-ups to be approved by Director of Renewals.
• Understand and maintain payment infrastructure with PTOs.
• Responsible for collecting and uploading Renewal Receipts to renewal operating system.
